Invite your team and choose roles

Everyone who works on your courses is a member of your organization, with a role that decides what they can change. You are an admin, because you created it.

Invite someone

  1. Open your organization and go to the Members tab.

  2. Choose Add user.

  3. Enter their email address and pick a role.

They receive an invitation email with instructions for setting a password. If they already have an Inbox Academy account, that account is added to your organization instead — they keep their existing sign-in.

Admin

Everything. Create and delete courses, manage learners, change organization settings, invite people and set their roles, and handle billing. Some actions are admin-only, including cancelling a learner's enrollment and sending their next lesson early.

Editor

Create and change courses, lessons, quizzes, assignments and decision points, and set up tracks and routing rules. Cannot enroll learners, change organization settings, or change anyone's role.

Instructor

Reviews assignments on the courses they are assigned to… and can enroll learners. Can see tracks and routing rules but not change them. Also shown publicly as the person teaching the course.

Viewer

Read-only. Can see courses, learners and reports, and change nothing.

If you are unsure, start people lower. Moving someone up takes a moment; finding out why a course changed does not.

Your plan sets how many people you can add

Team size is part of your plan rather than something you configure. When you reach the limit, adding another person is refused until you remove someone or move to a larger plan.

Changing or removing someone

Roles can be changed at any time from the same Members tab, and take effect immediately.

Removing someone takes away their access to this organization. It does not delete their account, and it does not touch anything they made, their courses, lessons and learners stay exactly as they are.

Instructors on a course

An instructor has two roles: they are the designated contact on a course's enrollment page and are responsible for reviewing assignments submitted by the learners enrolled in the course.

Assign them from the course itself, not from the members list. A course can have more than one.

Set a display name first

A member needs a display name on their membership before they can act as an instructor. It is the name learners see, and without it they cannot be assigned - this applies to admins too, who otherwise have every permission there is.

You can add a photo as well, which appears alongside the name on the enrollment page. A name and a face is one of the few signals a stranger has about whether a course is worth their email address.

What reviewing involves

When a learner submits an assignment - written text, an uploaded file, or both - it arrives as Pending review. The instructor reads it and chooses one of three outcomes:

  • Approved - the work is accepted and the learner moves on

  • Requesting changes - the learner is asked to have another go

  • Rejected - the work is not accepted

Feedback is a comment, and you can leave more than one, so a submission can hold a short back-and-forth rather than a single verdict.
